So Smitten Special Events will handle all of the necessary planning elements of your special day. We work with you and your budget to implement a theme, secure the appropriate venue and the necessary vendors (using our vendor contacts and relationships to receive discounts you might not otherwise get), and work through all of the large and small details with you. In addition, our team coordinators will attend, oversee, and direct the wedding, handle your vendors, keep everything on time, and make sure you have a memorable and enjoyable experience. With this package we guide you through the entire planning process, making it stress-free and, more importantly, fun!
 

Meetings

·       Complimentary initial consultation   

·       Up to 12 in-person meetings, including final details meeting and walkthrough at venue (1-2 weeks prior to event)

·       Attendance at all vendor/venue interviews and meetings (as available)

·       Unlimited professional advice and guidance (including etiquette) via phone and email once contract is initiated

 

Planning

·       Provide Google spreadsheet for tracking and organization

·       Create design concept, color scheme, and theme, from inspiration board to implementation

·       Assist with creation and management of budget

·       Research and secure venue

·       Refer, secure, and confirm vendors

·       Coordinate all vendor meetings

·       Negotiate and review all contracts and agreements

·       Review banquet event order from caterer

·       Collect necessary insurance certificates

·       Send vendor payment reminders

·       Develop and maintain timeline (weekend and day-of)

·       Communicate with all vendors, including distribution of client-approved timeline

·       Contact vendors for arrival times, and communicate venue’s procedures for unloading, set up, and tear down

·       Confirm all vendor orders and quantities on rental items

·       Place orders for party rental items (chairs, linens, draping, furniture, dance floor, special plates, glassware, flatware, props, etc.)

·       Work with officiant in coordinating ceremony

·       Assist with RSVP management

·       Assist with floor plan and table seating arrangement

·       Communicate with DJ/musicians on ceremony song selections and cueing wedding party for processional

·       Work with DJ/musicians to establish timing for grand entrance, first dance, parent dances, cake cutting, bouquet and garter tosses, honeymoon/money dance

·       Provide referrals and styling advice for wedding attire, hair, and make-up for bride, groom, and attendants

·       Assist with the selection of party favors and attendant gifts

·       Research hotel accommodations and secure group rates

·       Research and secure wedding transportation for guests

·       Provide timeline to appropriate family members and bridal party

·       Assist with rehearsal dinner planning

·       Assist with acquisition of marriage license

 

Execution

·       Full wedding day with two coordinators (up to 12 hours of service, additional hours can be added for $200/hr)

·       Entire wedding rehearsal with one coordinator (up to 3 hours of service)

·       Rehearsal dinner with one coordinators (up to 3 hours of service)

·       Assist officiant and orchestrate ceremony rehearsal with bridal party and family

·       Set up décor

·       Assist florist with centerpiece and décor placement

·       Assist with additional décor set up, including seating cards, menus, favors, sign-in book, gifts, etc.

·       Attend sound check with DJ/musicians

·       Manage banquet staff and vendors

·       Direct ushers with seating and program distribution

·       Direct ceremony processional

·       Assist photographer with formal family photos

·       Arrange signing of marriage license

·       Lead and execute reception events (grand entrance, first dance, dinner, parent dances, cake cutting, bouquet and garter tosses, honeymoon/money dance, etc.)

·       Coordinate and distribute vendor thank you cards and gratuities

·       Break down décor
